6 Mistakes Developers Make in Community Engagement (And How to Avoid Them)

When it comes to regeneration and development, how you engage with the community can make or break your project.
Having worked with both local authorities and developers, I’ve seen common pitfalls come up time and time again. Here are five key mistakes I see - and how Crowd Magnet helps clients avoid them.
1. Waiting until it’s too late
Often, engagement only starts once key decisions have already been made. At that point, it’s less consultation, more information sharing.
Fix: Start early. We work with clients to map out engagement strategies right from the feasibility stage- ensuring community voices shape the vision, not just respond to it.
2. One-size-fits-all methods
A public meeting at 6pm in the town hall isn’t accessible to everyone. Neither is a 30-page PDF with planning jargon.
Fix: Meet people where they are. We use creative, culturally appropriate, and flexible approaches—from WhatsApp updates to local pop-ups - to make engagement meaningful and inclusive.
3. Ignoring the lived experience
Data and reports are important, but they only tell part of the story. If you really want to understand a place, you need to hear from the people who live, work, and grow up there. Whether it’s a local parent trying to get their child to school or a business owner dealing with changing footfall -these real-life insights can shape projects in ways no spreadsheet ever could.
Fix: Don’t just rely on stats—create spaces where people feel safe and respected enough to share their experiences.
At Crowd Magnet, we prioritise qualitative, lived experiences and train local residents to lead parts of the process themselves, it’s about valuing people as experts in their own lives and areas. That’s how trust is built.
4. Over-promising, under-delivering
Communities have been let down before. Promising the world and then going quiet damages trust.
Fix: We help you manage expectations with honesty and transparency—and support you in following through on your commitments.
5. Not involving young people
Young people are often left out of consultations, yet they’re the ones who will inherit these spaces.
Fix: Youth engagement is at the heart of what we do—from youth-led storytelling programmes to creative content that amplifies their voices.
6. Thinking it can all be done in-house
Some local authorities assume they can handle engagement internally—usually due to budget constraints or because it's seen as just another tick-box exercise. But the reality is that most in-house teams are already stretched thin. Asking planners or regeneration officers to double as community engagement specialists often means rushed consultations or poor outcomes.
Fix: Outsourcing community engagement to experts isn't just a cost—it’s an investment. Done well, it pays off in stronger community relationships, smoother planning processes, and more meaningful social impact. At Crowd Magnet, we bring lived experience, cultural awareness, and tried-and-tested strategies to get better outcomes for both residents and project teams.
